This Privacy Policy explains how Hikmotic Sol Pvt Ltd (“we”, “us”, or “our”) collects, uses, and shares information when you use Advocate CMS(the “Service”).
Roles and Responsibilities
If you use the Service through an organization (your employer or firm), that organization controls how the Service is configured and used and may act as the “data controller” for Customer Content you submit. In that context, Hikmotic Sol Pvt Ltd generally processes Customer Content on the organization’s behalf as a service provider/processor.
Information We Collect
Account information: name, email address, login credentials (hashed), and organization/workspace details.
Customer Content: information you or your organization submits to the Service, such as case data, notes, calendar entries, and files. Customer Content may include sensitive or confidential information depending on how the Service is used.
Usage and device data: device and browser information, log data (including IP address and timestamps), and usage data (such as pages viewed and actions taken).
Cookies and local storage: cookies and/or local storage where necessary to run the Service (for example, to maintain sessions and remember preferences).
Billing information: subscription and payment status details. Payments are processed by Razorpay, a third-party payment processor. We do not store full payment card details, but we may receive limited billing metadata (such as payment confirmations, subscription status, and partial identifiers). Your use of Razorpay is subject to Razorpay’s terms and privacy policy.
File storage: files and documents you upload are stored using Cloudflare R2, a cloud object storage service operated by Cloudflare, Inc. Files are stored in secure, access-controlled buckets and are subject to role-based visibility within the Service.
How We Use Information
- Provide, operate, and maintain the Service.
- Authenticate users and secure accounts.
- Send transactional messages (such as OTPs, invitations, and security alerts).
- Process subscriptions, billing, and payments.
- Monitor, prevent, and investigate abuse or security incidents.
- Improve the Service and support customers.
- Comply with legal obligations and enforce our terms.
How We Share Information
- With your organization and its authorized administrators (for example, to manage accounts and access).
- With service providers who process data on our behalf (for example, infrastructure hosting, email delivery, analytics, and payment processing).
- With authorities or other parties when required by law or to protect the Service, our customers, or the public.
- In connection with a business transaction (such as a merger, acquisition, or sale of assets), subject to appropriate safeguards.
Data Retention
We retain information for as long as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. Your organization may also control retention and deletion settings for Customer Content.
Security
We use administrative, technical, and physical safeguards designed to protect information. However, no method of transmission or storage is completely secure.
Data Location and International Transfers
Hikmotic Sol Pvt Ltd is incorporated and operates in India. The Service and its infrastructure (including file storage via Cloudflare R2) may process data in data centers located in India or other countries. If you access the Service from outside India, your information may be transferred to and processed in India or other jurisdictions. We take steps designed to ensure appropriate protections are in place for such transfers.
Your Choices and Rights
Depending on your role and your organization’s settings, you may be able to access, update, export, or delete certain information in the Service. For additional requests (including data subject rights where applicable), contact your organization’s administrator.
Children
The Service is not directed to children and we do not knowingly collect personal information from children under 13 (or under the age required by local law).
Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will update the “Last updated” date above and, where appropriate, provide additional notice.
