How to Add and Manage Cases
Learn to add new cases, organize by court and client, track hearing dates, and update case status.
Last updated: April 2026
Why Organized Case Management Matters
A typical advocate handles 20–50 active cases at any time. Without a system, tracking hearing dates, filing status, and client communication becomes overwhelming. Advocate CMS centralizes everything so you always know the status of every matter.
Adding a New Case
Quick Add (30 seconds)
1. Click **"Add Case"** on your dashboard
2. Fill in the essentials:
- **Case Title** — e.g., "Singh v. Sharma — Writ Petition"
- **Case Number** — as filed at the court
- **Court** — select from the dropdown
- **Next Hearing Date** — if known
3. Click **Save**
Detailed Add (full information)
For complete records, we recommend also filling in:
- **Client Name** — link to an existing client or create a new one
- **Opposing Party** and **Opposing Counsel**
- **Case Type** — Civil, Criminal, Writ, PIL, SLP, Appeals, etc.
- **Case Status** — Pending, Listed, Adjourned, Disposed, Dismissed
- **Brief Notes** — a short summary of the matter
Organizing Your Cases
By Court
Your cases are automatically grouped by court. This is especially useful if you practice across multiple courts. Click the court name in the sidebar to filter.
By Status
Use status filters to see what's pending, what's listed this week, and what's been disposed. This helps you prioritize your preparation.
By Client
Each case is linked to a client. Click the client name to see all their matters at once. This is important for senior counsels who have multiple matters per client.
Tracking Hearing Dates
Every case has a **Hearings** tab. Here you can:
- View the hearing history for that case
- Add upcoming hearing dates
- Set reminders (3 days before, 1 day before, day of)
- Note the outcome of each hearing
Hearing reminders are our core feature. If you only use one thing, use this. [Learn more about hearing tracking](https://adcms.hikmotic.com/help-center/managing-hearing-dates-reminders).
Updating Case Status
As your case progresses, update the status:
| Status | When to Use |
|--------|-------------|
| **Pending** | Case filed, not yet listed for hearing |
| **Listed** | Matter appears on tomorrow's/today's cause list |
| **Adjourned** | Hearing postponed to a later date |
| **Disposed** | Case concluded at this level |
| **Appealed** | Matter appealed to a higher court |
Keeping status current means your team and clients always see the right picture.
Deleting or Archiving Cases
Disposed cases are automatically archived after 90 days. You can always search and access archived cases. To manually archive, open the case and click **"Archive."**
